Section 09 — Supporting documentation

Appendices

Material relevant to the project but not required to understand the proposal. Appendices are excluded from the word limit.

A1Group Charter

Appendix 1: Group Charter

The charter agreed in Week 2.

To be completed by the team

Paste or attach the Week 2 group charter.

  • Team values and ways of working
  • Meeting cadence and communication channels
  • How decisions are made and disagreements resolved
  • What happens if a member does not contribute
  • Signatures or agreement from every member
A2Meeting Minutes

Appendix 2: Meeting Minutes

Minutes of group meetings held across the project.

To be completed by the team

Add dated minutes for each meeting. For each meeting record:

  • Date, time and who attended
  • Decisions made, and the reasoning behind each
  • Actions assigned, with an owner and a due date
  • Anything carried over to the next meeting

Minutes are useful evidence for the rubric’s design-process criterion: they show that the decisions on this website were actually made by the group rather than asserted after the fact.

A3Statement on the Use of AI

Appendix 3: Statement on the Use of AI

A clear statement of use or non-use of generative AI, with the reasons, is required. This criterion is worth 3 of the 30 marks available.

To be completed by the team

This statement cannot be written for the team — it has to describe what actually happened. Note that generative AI was used in building this website, so the honest statement here is one of use, not non-use. Write it to cover:

  • Which tools were used, by whom, and for what parts of the project
  • Why the group chose to use them, and where it chose not to
  • What the group did to check and edit AI output — especially factual claims and citations
  • Which writing on this site is the group’s own

For full marks the statement must be accompanied by screenshots of the prompts used and the output generated. Put those in Appendix 4.

Check every citation independently. Generative AI invents plausible-looking sources. Each reference on this site should be opened and confirmed before submission.

A4Prompt Log

Appendix 4: Prompt Log

Full log of prompts used and responses received.

To be completed by the team

Add each prompt, the tool used, the date and the output, with screenshots. A workable format is a table with one row per prompt:

  • Date and tool used
  • Group member who ran the prompt
  • The prompt, in full
  • A summary of the output received
  • What was kept, what was rewritten, and what was discarded
  • A screenshot of the exchange
A5Prototype testing

Appendix 5: Prototype Testing Records

Full results of the paper walk-through, once it has been run. Referred to from Section 5.5.

To be completed by the team

Add the marked-up test sheets, photographs of the sessions, the timing data and the full notes. The summary on the prototyping page should then point here.

A6Risk register

Appendix 6: Risk Register

The six risks assessed for the pilot, with likelihood and planned response (Table 4). Summarised in Section 7.1.

Table 4. Risk register for the pilot, with planned responses.
